You said yes to being team mom — and suddenly you're in charge of a sports banquet. You're not alone. Thousands of parents do this every season, and most of them are figuring it out as they go. This guide is everything I wish someone handed me the first time.

Start with the Date — Everything Else Follows

The venue decides what you can do, and the date decides the venue. Before you plan anything else:

  • Talk to the coach — they know when stadiums, gyms, or school cafeterias are available
  • Check the school calendar — avoid prom, spring break, finals week, and other banquets
  • Book at least 6 weeks out — popular venues fill up fast, especially April through June

Set a Realistic Budget

Most high school sports banquets cost between $15 and $35 per person. That includes food, venue, decorations, awards, and incidentals. Here's a rough breakdown for a team of 30 athletes plus families (roughly 80-100 people total):

  • Venue: $0–500 (free if using school, $200–500 for a community hall)
  • Food: $1,200–$2,800 ($15–$35/person)
  • Decorations: $100–$300
  • Centerpieces: $50–$200
  • Awards/trophies: $50–$200
  • Programs/printouts: $20–$50

Fundraising tip: Run a concession stand at one home game and earmark those profits for the banquet. One busy Friday night can cover most of your budget.

Build Your Team (You Don't Have to Do It Alone)

You need a small committee of 2-4 other parents. Divide and conquer:

  • Food coordinator — handles catering, dietary restrictions, cake, drinks
  • Decorations lead — centerpieces, tablecloths, banners, photo wall
  • Awards & program — works with coach on award categories, prints programs, sets up slideshow
  • Cleanup crew — 4 parents who stay 30 minutes after to pack up

The 6-Week Countdown

6 Weeks Out

  • Book venue and send out save-the-date to families
  • Pick your committee
  • Decide on food (buffet is easiest — fewer staffing needs)

4 Weeks Out

  • Collect RSVPs and dietary restrictions
  • Confirm food order with caterer
  • Order centerpieces and decorations
  • Ask coach for award categories and nominees

2 Weeks Out

  • Order trophies or plaques
  • Build the photo slideshow (collect photos from parents)
  • Print programs
  • Reconfirm venue setup time

1 Week Out

  • Assign seating chart
  • Send reminder email with directions and timing
  • Confirm who's arriving early to set up

Decorations That Look Great Without Breaking the Bank

The biggest bang for your decoration buck comes from three things: tablecloths, centerpieces, and a photo wall. Everything else is optional.

Tablecloths

Buy or rent in team colors. Polyester tablecloths cost about $10-15 each and last for years. You can reuse them for every banquet.

Centerpieces

This is where a lot of team moms stress out, but it doesn't need to be complicated. You have two good options:

  • DIY: Mason jars filled with team-color flowers, wrapped in ribbon. Cheap and pretty.

Print this. Check it twice.

  • ☐ Venue confirmed and keys/access arranged

  • ☐ Allergies and dietary restrictions shared with caterer
  • ☐ Decorations gathered (tablecloths, centerpieces, banners)
  • ☐ Photo slideshow finished and tested on venue equipment
  • ☐ Awards/plaques labeled and organized by presentation order
  • ☐ Programs printed
  • ☐ Seating chart printed and table numbers ready
  • ☐ Emcee/speaker schedule confirmed with coach
  • ☐ Cleanup crew confirmed

Night-Of Tips from Veteran Team Moms

  • Arrive 90 minutes early — you'll need every minute for setup
  • Bring an emergency kit — safety pins, tape, scissors, Sharpie, stain remover wipes, extra tablecloth
  • Assign someone to take photos — not you, you'll be running around
  • Hand off to the coach when the program starts — your job is done, enjoy the evening
  • Have a 10-minute cleanup plan — assign each committee member one task (pack centerpieces, strip tablecloths, gather trash)
