🏆 Free resources for high school sports celebrations — Download the Banquet Checklist

Planning a sports banquet is a lot like coaching a season — you need a game plan, a timeline, and a team that executes. Here's exactly what to do in each of the 8 weeks leading up to your big night.

Week 8 — Set the Foundation

  • Pick a date — Check the school calendar, avoid exam weeks, holidays, and other major events
  • Choose venue — School cafeteria? Local banquet hall? Restaurant? Church basement? Book now.
  • Form committee — Coach + booster club rep + 2-3 parent volunteers
  • Set budget — Typical range: $15-35 per person including food, decorations, and awards

Week 7 — Plan the Program

  • Determine menu — Buffet vs plated? Caterer or potluck? Check dietary restrictions
  • Send save-the-date — Email to parents and athletes, post on team social media
  • Order awards — Trophies, medals, plaques typically take 2-3 weeks to produce
  • Choose decor theme — Team colors, sport-specific decorations, table arrangements

Week 5-6 — Order & Organize

  • Order centerpieces — Custom 3D printed centerpieces need time for production and shipping. Order at least 3 weeks before the banquet.
  • Send formal invitations — Include RSVP deadline (2 weeks before event)
  • Confirm venue details — Setup time, audiovisual equipment, seating capacity
  • Collect RSVPs — Track headcount for food ordering

Week 3-4 — Finalize Details

  • Confirm final headcount — Give final numbers to caterer/venue
  • Finalize award categories — Decide who presents each award
  • Prepare slide show or video — Season photos, highlight reel, senior memories
  • Assign volunteers — Setup crew, registration table, cleanup team

Week 2 — Prepare & Rehearse

  • Create program/running order — Dinner, welcome, coach speech, awards, senior recognition, closing
  • Prepare speeches — Coach writes remarks, assign speaker order
  • Print materials — Programs, name tags, table signs, place cards
  • Confirm vendor deliveries — Centerpieces, flowers, cake, AV equipment

Week 1 — Last Week

  • Confirm all orders — Call every vendor to confirm delivery times
  • Pack emergency kit — Safety pins, tape, marker, extra tablecloths, stapler
  • Email reminder to guests — Time, location, what to bring
  • Walk through the venue — Know where everything goes

Day Of — Execute

  • Arrive 2 hours early — Setup tables, test AV, arrange centerpieces
  • Check-in table — Greet guests, hand out programs
  • Designate a timer — Someone to keep the ceremony moving
  • Take photos — Team photo, award photos, candid moments
  • Cleanup plan — Assign 4-5 volunteers for teardown
